Prepare employee records, attendance, permissions and parallel payroll checks before moving your business to a new HR and payroll system.
Moving HR and payroll into a new system is a data and process project as much as a software installation. Employee records may be duplicated, attendance rules may be understood differently across teams and historic adjustments may live outside the main spreadsheet. Resolve those issues before expecting automation to produce dependable outputs.
Clean the source records
Assign a stable employee identifier and verify employment status, branch, role and effective dates. Identify which historical records must be retained and who is authorised to view them. Keep a record of changes made during cleanup so discrepancies can be explained later. Use a controlled import process rather than asking different managers to create overlapping records manually.
Validate rules with the responsible team
Document how attendance, leave, overtime, advances and adjustments reach the payroll workflow. The responsible HR and payroll professionals should approve the configured calculations against applicable requirements. Software functionality alone does not establish compliance. Changes to approved periods need a documented correction process, with access restricted to the people who perform and review that work.

Worked example: reconciling a payroll import
In an illustrative migration, an employee appears twice because HR uses a name while attendance uses a device identifier. Map both source records to a stable employee ID before importing. Keep the mapping and any corrections so the team can explain why totals changed between the source and the new system.
For the parallel check, select a normal employee, someone with an attendance adjustment and someone with a mid-period change. Compare the approved source calculation with the configured output for each case. Stop the cutover if a difference cannot be explained. This is a validation method; applicable payroll rules must be confirmed by the responsible professionals.
