Custom Software or a Ready-Made Business System: Which Fits?

Decide between packaged software, a customisable business system and a custom build using workflow fit, integration needs, ownership and operating costs.

A business does not always need software built from scratch. If a proven system handles the core workflow, configuring it can be a sensible starting point. Custom development becomes more relevant when the workflow differentiates your business, existing products cannot connect to essential systems, or manual workarounds create repeated errors. The decision should follow a requirements review rather than a preference for one technology.

Separate essential rules from familiar habits

Write down the rules the system must support: who approves a discount, how branches share stock and what happens when an invoice changes. Then identify habits that exist only because the current spreadsheet works that way. Changing an internal process can be cheaper and simpler than recreating every detail in software. Have the people doing the work validate the distinction.

Compare the full operating commitment

Licence fees are only part of the cost. Compare setup, migration, devices, integrations, training, support and future changes over the same period. Request a written explanation of those limits before treating the lower initial price as the better option.

Run the same demonstration in every option

  • Import representative records and identify fields that need cleanup.
  • Complete a normal transaction and a reversal or cancellation.
  • Test access for a manager and a restricted staff account.
  • Export your records in a usable format.
  • Show how the system connects to the other tools you already use.

Worked example: a distributor choosing a system

Imagine a distributor that needs stock control, sales orders and manager approval above a discount limit. A configurable product may handle those rules without a custom build. However, if every order must reserve stock in a separate warehouse system, the integration becomes a deciding requirement. Test that connection before committing to the product.

List each requirement as supported, configurable, additional development or unavailable. Price migration and staff training in the same comparison. If an essential workflow is unavailable, either revise the workflow with the business owner or evaluate another system; do not bury the limitation in an optional feature list.
